Qualifications:
- She must be a born-again believer in Jesus Christ and know Him as her personal Lord and Savior.
- She must be an active member of her church and faithful in attendance.
- She must not engage in any moral or ethical behavior that would be a cause of embarrassment to Christ and to the Gibson Baptist Association.
- She must undergo a background check to be employed by the association: A background check of the National Sex Registry Database, and criminal record check shall be required. This background check will be paid by the association and shall be required of all employees every four (4) years.
- She shall provide a reference letter from the pastor of the church where membership is maintained.
Job Skill Requirements:
- She shall be efficient in computer skills: Microsoft Word, Microsoft Excel, Microsoft Publisher, Microsoft PowerPoint, and Canva.
- She should have bookkeeping and accounting skills and experience and be efficient in the use of QuickBooks software.
- She must have good people skills to relate to pastors, church members, and the public. She represents the Gibson Baptist Association.
- She will maintain the association’s website with updates and news, as well as post news and events on social media accounts of the association.

Duties and Responsibilities:
- The Ministry Specialist is directly responsible to the Associational Mission Strategist. Her general responsibilities include typing, printing, making copies, mailing letters, filing, answering the phone, being of assistance to pastors and church members as needed, and maintaining an up-to-date associational calendar.
- The Ministry Specialist is responsible for maintaining the Financial Records for the Association. This will include writing all checks, making necessary deposits, making monthly reports for the association for the General Fund, Special Funds, and Contingency Reserve Funds; keeping the Director of Missions and Treasurer informed of all the accounts as needed. She shall be responsible for payroll, paying the monthly 941's, filing the W-2's at the end of the year. Her responsibility shall also include sending letters of tax contribution to contributors at the end of the year. The Ministry Specialist will be responsible for preparing books for and scheduling the required yearly audit. She will prepare written financial reports for the Executive Board Meetings and for the Annual Meeting for the Book of Reports.
- She will be responsible for sending postcards and texts to pastors and executive board members notifying them of upcoming executive board meetings. She will also check with team leaders to see if they would like time on the Executive Board meeting agenda or a report in the handout. She will prepare the agenda, handouts, and sign-in sheet.
- She will be responsible for working with associational pastors, church members, and associational teams and committees. (This may include making copies for them, preparing posters or reports, maintaining records of equipment on loan such as video projector equipment, etc.).
- She shall be responsible to the Associational WMU for typing and printing the WMU Yearbook, typing, printing, and mailing the WMU quarterly newsletters and posters, WMU and Missions & Ministry Bulletins for their meetings, handling monies for the GA Camps, Christmas in August event, and any other help they may require. She will help the WMU with publicity through the Vision or any other means as necessary.
- The Ministry Specialist will compile, type, and print the Book of Reports for the Annual Meeting as well as the Minute Books. She will be responsible for compiling the information for the Annual Church Profiles (ACPs) and providing copies to the Tennessee Baptist Convention. She will work with the church clerks on receiving church ACPs and compiling all information from the ACPs of the churches. The Ministry Specialist will help at the Annual Meeting with the registration of the messengers and guests, providing the clerk with the messenger cards and helping with any needs of the host churches. She will be responsible for maintaining a record of the church messengers as they are submitted to the office for the annual meeting and making the list available at the Annual Meeting for the Credential’s Committee.
- She will contact and send leaders of the teams the current year ministry plans along with blank ministry plan forms to gather information for the coming year. These will be published for each team, and as a whole. The proposed ministry plan will be given to the budget committee to help plan the budget for the coming year.
- She shall maintain a current mailing list of all church officers, Associational officers, committees and team members, Associational WMU/M&M officers, as well as a current mailing list for the Vision newsletter.
- Her duties will include preparing and mailing the monthly newsletter, The Vision. She will prepare the Vision newsletter, securing information for the Vision, and maintain the Vision mailing list. The newsletter is normally printed and mailed monthly. She will be responsible for the yearly audit required by the Postal Service for the Vision.
- She will update the association’s webpage and use the association’s social media accounts to post news and updates.
- She will be responsible for keeping the office, kitchen, and block party wagon supplies current.
- The Ministry Specialist will maintain a current list of all pastors and wives in the association. She will prepare and mail birthday and anniversary cards to the pastors and their wives, as well as publish their birthday and anniversary dates in The Vision.
- She will be responsible for preparing any copies of resumes and mailing them when requested by the Associational Mission Strategist. She will maintain a file of all resumes received and record the name of the church or individual to whom resumes are mailed. All resumes shall be maintained in the filing cabinet of the office. She shall be responsible for keeping the Resume Notebook as resumes are received or mailed to churches or individuals.
- Her responsibility will include helping with Bible Drill preparation for the Bible Drill coordinator. This will include the packets for the drill leaders, working with Tennessee Baptist Convention (TBC) coordinators with the drills, instructions, numbers, etc. She will seek to provide everything necessary for the Bible Drill coordinator.
- She will be responsible for maintaining the records of volunteers participating in mission trips. She will verify that every volunteer completed and submitted the proper paperwork, had a background check through GBA, receives any funds toward their mission trip, and distributing the Wingo Funds to those who are eligible.
- The Ministry Specialist shall be responsible for keeping the kitchen usable, running the dish washer, storing kitchen items, or ensuring kitchen items are in their place after being used, taking home linens to be washed and returning them.
- She will keep a calendar for the scheduling of the use of the Block Party Wagon. This will include making sure that each church using the Block Party Wagon has a copy of their insurance on file in the office. She will have the inflatable inspected yearly and pay and turn in the paperwork to the State.
- She will be responsible for supervising the part-time ministry assistant.
Vacation, Personal Days, Sick Days and Holidays:
- Vacation: After six months of employment, the Ministry Specialist shall receive one-week paid vacation. She may only take one week of paid vacation after having been employed for her first full year. She shall receive two weeks paid vacation in her second year and thereafter. The vacation time is not cumulative and must be used during the associational calendar year (October 1 - September 30). She shall coordinate her vacation days with the Associational Mission Strategist.
- Personal Days/Sick Days: She shall be allowed eight (8) paid personal/sick days per associational calendar year. If not used, these personal days expire at the end of the associational calendar year. She shall consult with the Associational Mission Strategist when planning to take personal days.
- When the Ministry Specialist must be absent due to an extended illness, and all personal days and sick days have been used, she shall use her vacation days.
- She shall be entitled to the following holidays with pay each year: New Year’s Day, Good Friday, Memorial Day, July 4th, Labor Day, Thanksgiving Day, and the day following Thanksgiving, Christmas Eve, and Christmas Day. She shall be allowed a day off with pay for her birthday.
